Grouping Contacts Under One Agency
The Advanced Agency Portal can group multiple (invited) agency contacts under the same agency company for you.
To request this setup, email support@hireport.io with:
The agency name
The points of contact you'd like grouped under it
Our team will handle the grouping on your behalf.
Inviting Agencies to SmartRecruiters
Once your agencies are set up, you have two options for getting recruiters onto the platform:
Option 1: Invite all users at once
Use the bulk list invitation flow to invite multiple agency users in one go. This is the most efficient approach when you already have a list of all the recruiters you want to work with.
Option 2: Invite one admin, let them invite colleagues
You can invite a single agency admin and have them invite their colleagues internally. This works well when you're onboarding an agency and want them to manage their own user setup.
Note: Whichever approach you choose, keep in mind that jobs must be shared at the individual user level (see below).
How Job Sharing Works
Regardless of how many users belong to an agency, every recruiter who needs to work on a vacancy must be added to that job individually.
This means:
Jobs are shared on a per-user basis, not at the agency level
Each user needs to be separately added to a job before they can submit candidates
Even if multiple users belong to the same agency, you'll need to share the job with each one you want to collaborate with
This gives you full control over which recruiters have access to each vacancy.
Troubleshooting
I invited an agency admin but their colleagues can't see the job.
Job access is granted per user. Make sure each colleague has been individually added to the job, not just to your agency network.
