We've improved the way you can manage agencies, agency contacts, and job access in the Advanced Agency Portal. The new setup gives you more control over which agencies can work on which jobs, while making agency onboarding and collaboration easier.

Settings > Agency Management

Bulk agency invitation (via CSV)

You can invite multiple agency contacts at once (by uploading a CSV file or by manually filling in the name & email address of the agency contacts). Simply create or select an agency list, upload your spreadsheet, and all contacts will be invited in one go. Each invited contact can then add their own colleagues as either an Admin (can invite and manage other users) or a Member (can work in the agency account but cannot invite others), eliminating the need for you to add every agency manually.

Custom Agency Invitation Emails

You can now customize the invitation email that agencies receive, including placeholders for company name, agency name, invited user name, and email address: making onboarding feel more personal and on-brand.

Better Filtering and Searching

Agency management and assignment screens now support filtering and searching by agency name, agency contact name, agency company name, specialization, location, rating, assignment status, and more.

Open a job in SmartRecruiters > Add external agency

Improved job assignment flow (bulk assignment of agencies)

You were already able to create and manage agency lists to organize suppliers or agency users into groups: for example, "Preferred IT Agencies", "Finance Suppliers", or "High-volume Hiring Partners". It is now also possible to assign all agency users in these lists to jobs in bulk, instead of assigning agencies one by one. An agency contact can belong to multiple lists.

Scheduled job access

It is now possible to schedule when an agency or recruiter should get access to a job. A job can be prepared today, an agency assigned now, but access only becomes active on a future date. This is useful for phased rollouts, preferred supplier windows, or controlled vacancy releases.
